Human Service Intake Coordinator/Program Director

SUMMARYThe Human Services Intake Coordinator/ Program Director will provide confidential service to clients requesting assistance with food, or energy bills, along with performing all duties required by the Grand Traverse Band of Ottawa and Chippewa Indians (GTB) Office of Management and Budgets (OMB) of Program Directors.
This position will also provide administrative support to all programs in the Anishinaabek Family Services (AFS) Programs.
This position will work closely with the AFS Supervisor and the Department Manager on other related tasks.
This position will be the primary contact for all clients that require or request AFS or Human Services programming or services.
All applications for services will be processed through this position, gathering all pertinent eligibility criteria information and determining what programs the client can access.
This position will be responsible for maintaining a database that captures qualitative and quantitative data for the AFS and Human Services programs.
This program will serve as the program director for Human Services programs and other programs assigned by the Department Manager.
MINIMUM QUALIFICATIONS Associates Degree in Business Administration, secretarial sciences or related field.
3 years of experience in a human service field Must have current working knowledge of records management.
Must have a valid unrestricted driver license and be insurable by the GTB insurance carrier.
ESSENTIAL DUTIES AND RESPONSIBILITIES Serve as primary intake for all clients requesting or requiring services from AFS or Human Services.
Maintain excellent customer service.
Work collaboratively with the AFS Supervisor to maintain scope of work for the program in keeping with fiscal and Federal Guidelines.
Performs administrative functions to support Human Service program.
Performs and maintains data entry and data collection functions for AFS and Human Services that is qualitative and quantitative in nature.
Prepare and monitor forms required to document the procedural flow of the program, such as purchase order requisitions, check requests, requests to travel, travel advance arrangements, employee requisition forms and so on.
Set up a telephone system that will provide options for the callers to increase programming efficacy to clients.
Attend meetings as necessary Ensure follow-up and follow-through of all client applications and request.
Maintain inventory of supplies as needed.
Keeps statistical data and proved monthly, quarterly and annual reporting of quantitative data.
Assist with the food pantry distribution and documentation and attend required meetings by the counties for food assistance.
Other duties as directed by Supervisor.
OTHER SKILLS AND ABILITIES Knowledge of and adherence to the highest level of confidentiality on all matters involving clients and families being served or visiting the AFS and BHS Offices, as outlined in Federal Law and Regulations 42 Code of Federal Regulations (CFR), Part 2, Health Insurance Portability Accountability Act (HIPAA) as well as those outlined in the GTB Personnel Policy booklet.
Knowledge of and adherence to State Licensing regulations and requirements.
Good time management and organizational are essential.
Maintain highest level of confidentiality of all matters involved in this position.
Excellent verbal and written communication skills.
Excellent interpersonal skills with demonstrated in the seven grandfather teachings.
Exceptional detail and follow-up skills Ability to effectively establish priorities and meet deadlines.
Ability to exercise considerable discretion in handling delegated administrative details and various clerical duties with minimal procedures and systems for the efficient and accountable operation of the program.
Proficiency in computers using Microsoft Windows Operating System and Office Suite and use of other office equipment.
EDUCATION and/or EXPERIENCE Associates Degree in Business Administration, secretarial sciences or related field.
3 years of experience in a human service field Successful completion of Program Director Training within one year from the date of hire.

WORKING CONDITIONSNormal office environment with some anticipated automobile travel to satellite offices in the six-county service area.
Position may require flexible schedule, events, conferences, and trainings outside normal working hours.
COMMENTSNative American preference will apply.
Must be willing and able to pass a background investigation and a drug and alcohol urinalysis as a condition of employment.
